This Privacy Policy explains how CheatInSights (“we”, “us”, or “our”) collects, uses, and shares information when you use our website, products, and services (collectively, the “Services”). We value and respect the privacy of our users and we are committed to protecting your privacy and complying with the Privacy Act 1988 (Cth) and other applicable privacy laws and regulations.

By using the Services, you agree to the practices described below. If you do not agree, please refrain from using the Services.

We may, from time to time, update this Privacy Policy to take account of new laws and regulations, technology, changes to our operations and practices, or any other matters we consider appropriate. Material changes will be communicated via the Services or by email. Your continued use after changes becomes effective signifies acceptance.

1. Who we are

CheatInSights is a software tool that helps analyse and visualise document metadata (including DOCX RSIDs) to aid in academic integrity workflows and related investigations.

Data privacy & confidentiality (uploads)

  • No secondary use of student data/IP: Files and content you upload (including student materials) are used only to deliver the requested analysis within the session. We do not use your documents or IP to train models or for unrelated product development.
  • Private by default: Uploaded materials are not visible to other users or staff. There is no cross-account or cross-staff access to your uploads or outputs.
  • Session-based storage: By default, uploads and derived results are stored only in your active session. When you close the browser tab or end the session, we permanently delete uploaded files and session results. They cannot be recovered, including by us.

Note for enterprise/education deployments: If your organisation requires different retention or access controls, those must be explicitly configured by your administrator and will be disclosed in your organisation’s agreement. Our default behaviour is session-scoped, non-persistent processing.

2. Information we collect & how

  • Account & profile data: name, email, password hashes, organisation, role.
  • Usage data: feature interactions, crash logs, diagnostics, server IP addresses, browser types, domain names, and anonymous statistical data.
  • Payment information: billing address and transaction details processed by our payment provider (we do not store full card numbers).
  • How we collect: we collect information from you when we interact with you in any capacity, including online, or where you may otherwise participate in any Services or associated programs (including but not limited to subscribing to mailing lists or participating in surveys or feedback).

3. How we use information

  • Provide, maintain, and improve the Services.
  • Process uploads and generate analyses, scores, and visualisations you request.
  • Personalise features, recommend settings, and communicate updates.
  • Monitor security, prevent fraud/abuse, and enforce our Terms of Service.
  • Internal administrative processes, including marketing and research.
  • Management of any complaint, investigation or inquiry in which you are involved.
  • Comply with legal obligations and respond to lawful requests.

5. AI/automation disclosures

  • Uploaded documents may be processed by automated systems to extract metadata (e.g., RSIDs) and compute statistics.
  • We do not train public models on your data. If optional data sharing for model improvement is later offered, it will be opt-in with separate consent controls.
  • We employ safeguards to minimise retention of raw content and focus on derived, non-content statistics wherever feasible.

6. Cookies & similar technologies

We use necessary cookies, however, we do not use cookies to identify you.

If you do not wish to use the cookies, you can manage preferences via your browser settings and (if available) our cookie banner. However, if you remove or block cookies on your computer, please be aware that your experience of Services and our website’s functionality may be affected.

7. How we share information

  • No access to your uploads by other users or staff: Uploaded content (including student materials) is private to your session/account and not visible to other users or staff. We do not share your documents or IP for any secondary purpose.
  • Service providers: cloud hosting, analytics, error monitoring, email, payments, marketing and third-party services providers — bound by contractual confidentiality and data protection obligations.
  • Enterprise/education customers: where your use is provisioned by an organisation, administrators may access account and usage data consistent with their policies.
  • Legal & safety: to comply with law, protect rights, safety, and the integrity of the Services, including our professional services advisors.
  • Business transfers: in connection with a merger, acquisition, or asset sale, subject to continuity of protections.

8. International transfers

Where data is transferred across borders (including indirect transfers on account of third-party service providers having servers located outside of Australia), we implement appropriate safeguards and take reasonable steps (e.g., standard contractual clauses) to ensure that data security and appropriate privacy practices are maintained, as may be required by applicable law.

9. Data retention

We retain personal data only as long as necessary for the purposes described here or as required by law.

Uploaded content (including documents and outputs) is session-scoped by default: we process it to provide your requested analysis and then permanently delete it when you close the browser tab or the session ends. Past uploads and results are not recoverable — even by us.

10. Your rights

  • Access, correction, deletion, and portability of your personal data, pursuant to applicable laws and our Terms of Service.
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.

Requests, including any revocation of consent, may be submitted via the contact details below. We will verify and respond according to applicable law.

On request by you, we will take reasonable steps to let you know what personal information we hold and for what purposes, we will also let you know how we collect, hold, use and disclose that information. If such a request is made, we will endeavour to provide you with such access within a reasonable time. However, we are not obliged to provide you with access to your personal information in all cases and we reserve our rights to refuse such access if permitted to do so by applicable laws.

You should be aware that it is not technologically possible to remove each and every record of the information you have provided to us from our systems. However, we will ensure that promptly after receiving your request, all personally identifiable information stored in databases we actively use and other readily searchable media, will be updated, corrected, changed or deleted, as appropriate, as soon as reasonably practicable.

Please note where your consent is necessary for the performance of Services to you under a contract or any Terms of Service, any contract or terms shall terminate as far as applicable, and that obligation will not apply to us with immediate effect.

11. Children

The Services are not directed to individuals under 13 (or the relevant minimum age in your jurisdiction). We do not knowingly collect data from such individuals.

12. Security

We want your information (including personally identifiable information) to remain as secure as reasonably possible. We strive to provide secure transmission of your information from your computer to our servers through industry-standard techniques, including administrative, technical, and physical safeguards designed to protect information.

However, no system or transmission over the internet can be guaranteed to be 100% secure. You acknowledge that there is always some risk involved in transmitting information online. To help protect your data, we recommend using strong, unique passwords and enabling multi-factor authentication where available.

14. Inquiries and complaints

If you reasonably believe that any information that we hold about you is incorrect or out-of-date, upon your providing us with sufficient proof of the same, we shall ensure that our records are updated to correct any incorrect or out-of-date information.

For complaints about how we handle, process or manage your personal information, please contact us as per the contact details below. Note we may require proof of your identity and full details of your request before we can process your complaint. It will not always be possible to resolve a complaint to everyone’s satisfaction. If you are not satisfied with our response to a complaint, you have the right to contact the Office of Australian Information Commissioner (at www.oaic.gov.au/) to lodge a complaint.
